SMS Messaging Set up and User Guide

Firefly supports sending SMS message as another way to stay in contact with your customers. This form of communication is on top of emails guests receive to stay informed about their reservation.

SMS messaging is an add-on you can choose to subscribe to if you want to enable SMS messaging for your property. Add-on pricing information can be found on our pricing page. Follow the steps below to enable and set up SMS messaging.

Getting Started

Activate SMS Addon


Follow these steps to to turn on to the SMS Add-on for your property: 

  1. Click on your name on the top right of your screen
  2. Click Account
  3. Click the Add-ons tab.
  4. Check the box next to SMS Messaging under the list of Available Add-ons
  5. Click Save.

Choosing your Phone Number

Once you have turned on the SMS Messaging add on, you can set up your number. 

  1.  Click on the Settings menu
  2. Click Property,
  3. Navigate to the General tab,

  5. Click Select SMS number to claim a local number
  6. Enter your desired area code and click Search.
  7. When you find the desired number, check the box next to itCS-Firefly-KB-Settings-Select-SMS-number-1024x753
  8. Click the blue "Select Number" to save
  9. When you return to the General Property Settings tab, you will see your new numberCS-Firefly-KB-Settings-SMS-Number-1024x145

If you don't see the option for Select SMS Number, check to make sure you have subscribed to the addon. 

Customize SMS Messaging Templates

You have the ability to customize templates, and create new templates for SMS Messages.

  1. Click Settings
  2. Click SMS Templates
  3. Click on the template you wish to update

Click on any template to edit the template message, or click New Custom Template on the top right to create a new custom template.

You can click any of the placeholders to insert that placeholder into the template. At the time the message is sent, the placeholders will be replaced with personalized values for the recipient. You can uncheck the Sending checkbox on the top right to disable this template from sending.

Creating New SMS Messaging Templates

Your park might have the same type of message that you send repeatedly. Custom templates are a perfect option to save you time. 

  1. Click the Settings Menu
  2. Click SMS Messaging Templates
  3. Click "New Custom Message" in the top left corner
  4. Enter in the text you wish to send


Using SMS Messaging

Texting an Individual Guest

To view SMS messages that have been sent to a guest, go to the reservation and click the Notifications tab. You can click the SMS tab to see all SMS messages and click the Email tab to see all emails sent to the guest.

To send a new message: 

  1. Go to the Reservation
  2. Click on the Notifications Tab
  3. Click the SMS Tab
  4. Enter in the text you wish to send
  5. Click Send
 

Send Mass SMS Message to Guests

If you ever need to send a SMS message to one or many guests, go to Guests > SMS Message Guests to easily send a message to your guests. You can load the message contents from a template by choosing a template in the Load from template dropdown. Choose a date range to show a list of guests that have a reservation at any point in that range, and select which guests you want to send a SMS message to.

Once you have selected the recipients and finalized your message, click Send Message to send the SMS text. The message has been sent!

 

💡 FAQ: Why do not all of the templates show when I send a manual SMS Message?

Some of the templates for SMS Messaging require specific data in order to be sent. When sending a manual text, this data is not always available so it will not show as a template able to be used in that scenario. 

 

For example: The "New charge notification" requires information about the specific charge that is new. When sending a manual text, there might not be a new charge to pull the information from, to be able to send.
