Unit Rates - How do I set rates for additional occupants?

Each unit sets a maximum number of occupants and each rate allows you to set the included occupants in the rate's price. This article walks you through automatically charging extra for additional people, pets, or vehicles in your unit's rates.

Overview

A unit's occupants are the people, pets, and vehicles staying in the unit during the reservation. Firefly makes it easy to charge for occupancy in a way that best suits your park. You may apply additional occupancy charges as a one-time fee per stay using reservation add-ons. You may also use the steps in this article to apply charges on a daily, weekly, monthly, or seasonal basis through the unit's rates.

When using rates to charge for additional occupants, you will set the max occupants included in the base rate and set the price for each additional occupant. Any time a guest books a reservation with occupancy beyond your included max, the system automatically applies your additional charges.

Here is an example of extra occupancy charges through your unit's rates: If a unit's nightly rate is $50.00 per night for up to 2 adults and there is a $5.00 fee for each additional guest, a reservation with 4 adults will automatically increase to $60.00 per night. The system recognized the 2 extra adults and added $10.00 to your base rate automatically.

CAUTION: A rate's max occupants, the total number included in the rate price, will not override a unit's maximums. The max setting on a rate is simply how many are included in the rate without additional charges. Any occupancy over a rate's max will be charged the additional fee set in the rate.

To manage a unit's allowed occupancy, see the unit's General tab (Add or Edit Units).

 

Set rates to automatically apply additional occupant charges: 

1. Navigate to the unit you wish to edit rates for going to Settings > Units.

2. On the General tab, confirm Max settings. These are the most you will allow on the unit. 

These are max totals and not the numbers included in a rate, as you will set that below.

3. Click on the Rates tab. On the rate you want to edit, click the 3 dots then Edit.

4. Under "Charge Extra for Additional Occupants" choose Individual or Total.

Individual will allow you to enter max numbers for adults and children.

Total will allow you to enter max numbers for all occupants.

5. Set the price you wish to charge for each occupant above the max. Remember, the max number is included in the rate so any amount above that number will be charged this extra price.

6. Click Save.

7. Repeat the process for any other rates needing additional occupant charges. For example,  prices for extras on other Daily, Weekly, Monthly, or Seasonal rates. 

TIP: The Import/Export tool will copy rates to other units. Just be sure the units you are exporting to have the exact same rates. Exporting rates overrides the entire tab, not just something you changed..
