For a business with seasonal revenue, those fees hit harder than they would for a year-round operation. The good news is there are straightforward ways to reduce what you're paying and get money into your account faster. ## Understanding Your Processing Costs Credit card processing fees have three components: interchange (set by Visa/Mastercard, non-negotiable), assessment (set by the card networks, small), and markup (set by your processor, negotiable). Most campgrounds pay between 2.5% and 3.5% all-in on card transactions. The difference between 2.5% and 3.5% might not sound like much, but on $500,000 in annual card revenue, that's a $5,000 difference. Over five years, that's $25,000 - enough to pave a new pad or upgrade a bathhouse. ## Flat Rate vs. Interchange Plus Most campgrounds are on flat-rate pricing (like Stripe's 2.9% + $0.30) because it's simple. But interchange-plus pricing, where you pay the actual interchange rate plus a fixed markup, is almost always cheaper for businesses processing over $10,000/month. With interchange-plus, you'll see lower effective rates because debit card transactions (which often make up 40-50% of campground payments) have much lower interchange rates than credit cards. Campgrounds can minimize them with a few practices: - **Clear billing descriptors. **Make sure your business name on the guest's credit card statement is recognizable. 'ASPIRA CONNECT LLC' means nothing to a guest - 'PINE LAKE CAMPGROUND' does. - **Pre-arrival charges with email confirmation. **When you charge a deposit, send an immediate email receipt that references the reservation dates and campground name. - **Transparent cancellation policies. **Most campground chargebacks come from guests who dispute a cancellation charge. If your policy was clearly communicated at booking and the guest acknowledged it, you have the documentation to win the dispute. ## Getting Paid Faster Standard payment processing settlement takes 2-3 business days. For a seasonal business that might process $50,000 in a busy weekend, that's a lot of cash sitting in limbo. Some processors offer next-day or same-day settlement for a small additional fee (typically 0.1-0.25%). During peak season, faster access to cash can help with payroll, vendor payments, and operational expenses. ## What to Look for in a Campground Payment Solution The right payment system for a campground should offer integrated processing with your reservation software, competitive interchange-plus pricing, the ability to process deposits and final payments automatically, stored card functionality for additional charges, and a clear billing descriptor. Don't just accept whatever payment processor your software vendor defaults to. Compare rates, ask about interchange-plus options, and negotiate.
