How do I find my Invoice from Firefly?

Firefly invoices are sent monthly to our customers. This article provides all the information you need regarding billing invoices from Firefly including: where to find them, how to confirm charges, what's included, who receives them, and how to pay.

How do I access my invoice from Firefly?

1. In the top right corner of any Firefly page, click your username's dropdown then click Account.

2. Click the Invoices tab.

3. Click any invoice to open its summary view.

4 Click View Invoice to open a pdf of the invoice for saving and to see payment details.

Reservation Service Fees

Reservation service fees are charged per unit. This means a reservation with 4 units will incur 4 service fee charges. Service charges apply to all reservations including:

  • newly booked reservations created during the invoice period
  • long-term or ongoing reservations when a unit is occupied a majority of the invoice period

Both types of reservation units above are included on an invoice and itemized as independent line items. Below is an example of how charges appear on an invoice. Notice the difference in charge descriptions:

  • newly created reservation units described as "Reservation Unit Service Fee [Per Unit Reserved Plan]"
  • long-term or ongoing reservation units described as "Per Unit Reserved pan (Reservations >= 1 mo).

We tend to refer to the first line item as "new reservations", and the second line item could be called "long-term", "ongoing", or "maintenance" service fees; and you may even hear them described as "use fees". The terms "use fees" or  "maintenance service fees" can help explain why reservations over one month continue to incur monthly service charges, with features that help you easily and efficiently maintain your longer reservations like recurring charges, utility recordings and charges, and auto-pay.

How do I confirm the reservations I am being billed for? 

There are two reports that can help you determine which reservations you are being charged for on a specific invoice: Billable Reservations and Billable Long-Term Reservations.

From the main menu, go to Reports. On the top line of the Reservations section you will find both reports. Alternatively, the hyperlinks below will take you directly to each report.

Billable Reservations Report

This report shows summaries for the number of reservations included in the invoice as well as the total unit stays you are being billed for. It also provides a list of each reservation to breakdown the summaries.

TIP: To confirm your invoice's per unit service fees, use "# Of Reservation Units".

Billable Reservations

  1. Choose the date of your invoice and click Run. If your account includes multiple properties, you may choose to run the report for all properties or just specific ones.
  2. You will see the summary totals as well as the list of all unit stays on the invoice.

Billable Long-Term Reservations Report

This report shows the number of units that are a majority of the invoice period for stays longer than one month. This includes both ongoing reservations as well as standard reservations.

  1. Choose the date of your invoice and click Run. If your account includes multiple properties, you may choose to run the report for all properties or just specific ones.
  2. The report shows the summary total for number of units as well as the list of all unit stays billed on the invoice.

💡 In either report, click on any reservation to open up the reservation's details page.

Who receives the monthly invoice from Firefly?

Monthly invoices are sent by email to all users with Account Administrator permission, to the email address in each user's profile.

How do I pay my invoice?

Your invoice balance is charged to your default payment method on your invoice date every month. In the example shown below, $31.50 was charged to the default payment method on June 25, 2025.

NOTE: Default payment methods are set during an account's Trial period as Firefly requires all accounts to have a default payment method on file before going "Live".

Where can I confirm the payment method used for an invoice?

The following steps are a great way to confirm if a card, bank account, or reservation credit was applied to an invoice.

On the Invoices tab in Account Manager, you may click on an invoice summary line to view the details of the invoice.

You may click on View Invoice in the lower left corner of this display to view the PDF of the invoice.

The payment method type(s) used for each invoice are shown on the PDF view.

How do I print or save a copy of my invoice?

On the Invoices tab in Account Manager, click on an invoice's summary line to see the invoice's details.

In the lower left corner of the full summary, click on the blue hyperlink titled "View Invoice".

A PDF of the invoice opens in a new tab. You may view and close or print through your device's print feature.
